Notice of General Meeting

Due to the restrictions imposed in response to the current pandemic, the Management Committee approved changes to the AGM process as sanctioned in Bylaw No. 6. Therefore, our Annual General Meeting (AGM) will be held online this year. Voting will also be done electronically and in advance of the meeting. You will receive a link to all the necessary documents via email and you will be asked to vote indicating your acceptance or not of last year's AGM Minutes, Financial Statements, and the slate of Management Committee Nominees for officers. The process is as follows:

1. January 27: Notice of AGM published via email and website
2. February 9: Deadline for self-nomination for a Management Committee (MC) officer position
   • If you wish to put your name forward for a MC officer position, please email Marion Stewart, Nominating Committee Chair, on or before February 9, in order to have your name appear on the ballot. In particular, we are still looking for Co-Secretaries.
3. February 10: Posting via email and website of the 3 articles to be voted on:
   • 2020 Annual General Meeting Minutes
   • Slate of Officers currently standing for election
   • 2020 Financial Report
4. February 10: Online voting begins  (includes an opportunity to ask questions or comment via the online form)
5. February 21: Online voting closes
6. February 21: Email with the Zoom link to the AGM will be sent out
7. February 23: Annual General Meeting will be held online via Zoom and hosted by the Vice President. 
   • Meeting will be recorded and published via the club's YouTube channel
   • President provides her report
   • Nomination Committee Chair announces the results of the online voting
   • President closes the business portion of the meeting
   • Speaker's Chair introduces guest speaker - Mr. Bob MacNair, Director of District 7, and Vice-President PROBUS CANADA
